Prepare, correct and publish
1. Prepare an authorised source
Check permission to record and use the content. Preserve the original, identify language and duration and establish terms for sending it to a provider.
2. Supply vocabulary
Prepare names, acronyms and specialist terms without asking the tool to fill inaudible passages. Keep the initial generated text to track corrections.
3. Review while listening
Check names, figures, negations, meaningful hesitation and speaker attribution. Mark uncertain passages with timestamps. Do not turn a possibility into a firm commitment.
4. Adapt to the output
For meeting notes, separate quotations from summaries. For captions, split at meaningful boundaries, adjust timing and include necessary sound information. Do not label a summary as a complete transcript.
5. Test the final medium
Watch without sound, on mobile and using the keyboard. Check that captions do not cover useful visuals and the player can enable them. Translation needs a separate linguistic review.
6. Preserve and update
Archive the original, corrected transcript and caption track with versions and rights. Recheck timing after editing: deleting a clip may desynchronise what follows.
