Prepare, test and decide

  1. 1. Define what needs follow-up

    Before the meeting, distinguish decisions, actions, open questions and information. A note format with these four categories avoids treating every future-tense statement as a promise. Also define who approves notes and who can access the recording.

  2. 2. Check capture conditions

    Choose an authorised conversation and examine capture, retention and sharing settings. Use fictional participants and data for an initial trial. The absence of a visible bot does not describe audio processing; inspect the actual workflow.

  3. 3. Retrieve commitments in context

    For every item, open its reference passage and read what precedes and follows. ‘I could do it’ is not ‘I will do it’. Look for conditions, refusals, proposed delegation and final agreement. If attribution is uncertain, mark the owner as awaiting confirmation.

  4. 4. Normalise dates without inventing them

    A relative deadline depends on the meeting date and context. Keep the original phrase and an explicit date when confirmed. If a date is corrected, retain the final correction and its passage. Leave unknown deadlines unknown.

  5. 5. Approve before synchronising

    Separate draft notes from approved tasks. Have disputed points confirmed by the minutes owner; do not automatically initiate external follow-up from a suggestion. Check recipients and permissions, particularly when a CRM or project space receives actions.

  6. 6. Preserve useful disagreement

    A short summary may omit an objection limiting a decision. Retain meaningful qualifications and open questions. After approval, record corrections, date and actual approver; when combining meetings, preserve each action’s origin.
